Choose a primary moment
List the areas you are considering, then choose the one that matters most. A ceremony setting, welcome display and reception photo area each serve a different purpose. Your first choice should reflect how you want guests to experience the day, rather than which reference image has the most detail.
If you are combining balloons with other decor, explain which elements are already arranged through the venue or another supplier. Arch & Array’s wedding service choices include balloon installations, backdrops, custom signage and custom event decor; discuss the specific combination in your inquiry.
Connect the palette without copying every detail
Use a small group of references to show colour, shape and atmosphere. Label what you like in each one. You might prefer the placement in one image and the softer colour balance in another. That is more useful than presenting several different full designs as a single brief.
Include the venue’s existing finishes and any linens or floral colours already chosen. A photograph of the room helps the studio understand what the installation will sit beside. Treat a digital palette as a direction to discuss, not a guarantee of an exact physical colour match.
Do not assume a ceremony display can simply move
Reusing a display later in the day can sound straightforward, but it needs its own plan. Ask whether the proposed installation can be moved, who would move it and how much time is available between uses. A change of room, doorway or backdrop can affect the answer.
Keep a second location on your brief only if the venue and studio can review it. A design that works beautifully in one position may be better left there while another element marks the reception.
Make signage and photographs part of the layout
Confirm names and wording before discussing sign placement. Then think about how people will stand in front of the display: important text should not disappear behind every portrait. Share your expected group sizes and the photographer’s intended angle if known.
- Primary focal point and optional secondary area
- Ceremony, reception and supplier access times
- Room photographs and usable dimensions
- Confirmed sign wording and palette references
- Any proposed move between locations for review
