Begin with what is already fixed
List the room finishes, furniture and event details that cannot change. For a wedding, that may include chosen linens; for a company event, it may include approved brand colours. Start there before adding more colours to the installation.
Send a photograph of the space in ordinary lighting when possible. A palette shown on a screen can look different beside the actual walls or furniture. Use colour references to communicate direction and ask the studio how the proposed materials will work together.
Explain the role of each reference
Choose a small set of inspiration images and annotate each one. “I like the shape, but not the colours” is more actionable than an unexplained collection of pictures. Separate colour, balloon arrangement, backdrop shape and signage preferences.
If two references conflict, say which matters more. For example, a densely covered wall and a minimal sign-centred display point toward different balances. Priorities give the studio room to interpret the brief coherently.
Treat sign wording as part of the layout
Provide the exact text, including spelling, punctuation and any date or number. Longer wording needs a different layout from a short name or milestone. Ask how the sign will remain readable against the proposed background and in photographs.
For business branding, use approved artwork and identify the person responsible for approval. Extensive branding, patterns or character work may require a custom quote. A generic signage option does not establish the final scope of every personalised design.
Review the whole focal point
Look at the sign, balloon coverage and surrounding space together. Decide where people will stand and which elements should remain visible behind them. Avoid filling every available area if that would obscure the wording or overwhelm the main subject.
Keep the inquiry flexible where you can. A clear mood, a few visual references and confirmed text provide a stronger starting point than a request for an exact copy of another event.
- Fixed room colours and event palette
- A short note explaining each inspiration image
- Exact sign wording or approved logo artwork
- Main viewing angle and expected photo use
- Essential details versus flexible preferences
