Separate guest arrival from supplier access
Record when suppliers may enter, when setup must finish and when guests arrive. If a room is being used earlier that day, ask who confirms that it is ready. A booking start time is not necessarily a supplier access time.
Share these times in your inquiry alongside the event date. If your preferred design needs more time or access than the venue allows, discussing that early gives you a chance to adjust the scope. Avoid promising an installation schedule on behalf of either the venue or the studio.
Trace the route from unloading to the display
Ask where unloading is allowed, whether a service entrance is required and how equipment reaches the event room. For a building with an elevator, confirm whether a reservation or staff assistance is needed. These are questions for your venue contact, not assumptions about all Toronto buildings.
Describe stairs, narrow turns and doors along the route. Include photos where dimensions alone are hard to explain. An installation that fits the room still needs a workable plan for bringing its components inside.
Confirm what may touch the building
Ask about attachment restrictions and approved display locations. Do not assume tape, hooks or wall-mounted decor are allowed because they appear in an inspiration image. If attachments are restricted, tell the studio before a design is proposed.
Check the floor area around the display as well. Entrances, exits and venue circulation routes should remain available; ask the venue to approve the layout rather than choosing a position from photos alone.
Plan the end of the event
Confirm when the room must be cleared and who will coordinate access after the celebration. Ask the studio to specify collection or removal arrangements in the proposal. The package builder includes standard installation and local delivery where applicable. Confirm how that applies to your venue, and agree separately on any removal or collection requirements.
- Venue name, address and on-site contact
- Supplier arrival window and setup deadline
- Unloading route, doors, stairs and elevator arrangements
- Approved installation location and attachment rules
- Room-clear deadline and agreed removal responsibilities
