Measure the usable area, not the whole room
Record the width and height of the proposed display area, then identify anything that reduces it. Doors, shelves, signs and fixed furniture can make a large wall less usable than it first appears. Include those features in your photos rather than cropping them out.
Also record the available floor depth. A freestanding backdrop or support may occupy space beyond its visible face. Ask the studio to confirm the footprint of the proposed design; do not assume every backdrop sits flat against a wall.
Leave room for the people in the picture
Describe whether you expect individual portraits, couples or larger groups. Mark where people could stand and where the camera could be positioned. You do not need to prescribe a camera distance; you need to show how much space is actually available.
Consider the furniture in front of the display. A cake table, gift table or seating arrangement can change the usable photo area. If an item will be moved for photographs, explain who would move it and when rather than relying on an improvised change.
Photograph the route and the surroundings
Take one wide image of the room, one straight-on view of the proposed position and a view that shows nearby doors or obstructions. Add access-route photos if stairs or narrow turns could affect setup. Clear context is more helpful than a large number of similar close-ups.
Use notes to distinguish what will stay from what will be removed. An empty-room plan can be misleading if tables, speakers or other suppliers will occupy the space on the day. Ask the venue for the intended layout if one is available.
Send measurements with their units
Label each measurement and use a consistent unit where possible. Explain whether a number refers to the wall, the table or the space reserved for decor. The studio can then ask focused follow-up questions instead of guessing what the sketch represents.
