Decide what belongs in the photograph
A dessert-table backdrop and a standing photo backdrop are not quite the same brief. A table can add visual interest but also occupy the place where guests would stand. Sketch the position of the table, backdrop and people before deciding how much balloon coverage you want.
If both uses matter, explain that to the studio. Ask whether the proposed arrangement leaves a clear photo position beside or in front of the table. Do not rely on moving a full table or installation during the celebration unless that has been planned.
Build a palette from the room and theme
You do not need to use every colour associated with a theme. Start with a main colour direction and an accent, then look at the walls, flooring and furniture already in the space. A restrained palette can help the cake, sign or host remain the focal point.
When sharing references, explain whether you prefer a soft, high-contrast or more playful effect. Avoid treating a filtered photograph as a precise colour specification. Send an unfiltered room photo when possible so the surrounding light and finishes are visible.
Keep the guest route in the plan
Place the display where people can approach without interrupting food service or blocking the entrance. Consider where guests will put bags, gifts and coats as well as where they will sit. A focal point can be visually prominent without occupying the busiest route through the room.
Ask the venue to review the intended position and any attachment requirements. In a home, identify the available area and any furniture that will remain in place. Those details help distinguish usable space from the full dimensions of the room.
Finish the brief with the personal details
Custom signage can connect the arrangement to the occasion. Provide the exact wording and explain whether it should be readable in wide group photographs or mainly in closer images. Confirm any personalised text before it moves into production.
